Booking Conditions and Cancellations

  1. Should you wish to cancel your booking, advise us in writing immediately. Deposits are non-refundable or transferable. If cancellation is notified less than 8 weeks before departure, the following % of the program fee will be retained by us, together with any insurance premium: 8-5 weeks - 25%; 4-3 weeks - 50%; 2-1 weeks - 75%; thereafter - 100%. We reserve the right to cancel a tour at any time prior to 8 weeks before departure if the minimum group size is not achieved and in such case we will refund any moneys paid to us. In such case no further compensation will be paid.
  2. In the unlikely event that the airline withdraws the flight you are booked on, we will arrange the most suitable alternative reservation and advise you immediately. Should the alternative result in traveling on different dates which are not suitable to you, you may withdraw from the booking with full refund of all money paid, provided that we are notified within 7 days. This offer does not apply to simple schedule changes nor amendments to schedules caused by civil strife, war, riots, weather or technical delays, strikes, closure of airports, national disasters or emergency or for any other reason over which the airline has no control.
  3. Should civil strife, war, riots, weather or technical delays, strikes, closure of airports, national disasters or emergency or for any other reason over which the airline has no control, delay or extend the trip, Geographic Bureau and its agents cannot accept liability for any resulting loss, damage or expense. Any refund will then be subject to deduction of reasonable expenses.
  4. Should such events as listed in 3. occur prior to scheduled departure, Geographic Bureau will try to offer alternative arrangements, or if this is not possible or acceptable, refund all moneys paid less any reasonable expenses.
  5. Release and Assumption of Risk. The program you are participating in under the arrangements of Geographic Bureau and its agents involves certain risks and dangers, including, but not limited to the hazards of traveling in rugged mountainous or wilderness terrain, accident, illness, subject to the forces of nature and travel by air, auto, camel, boat or other conveyance. The program will take place in isolated wilderness areas often many miles from medical facilities, and can involve climbing, hiking, biking, flying, caving, rafting, game spotting and bushwhacking, all of which could be potentially dangerous. In consideration of, and as part payment for, the right to participate in such programs, Geographic Bureau, its agents and staff will be held harmless from any and all liability, actions, causes of action, debts, claims, and demands of every kind and nature whatsoever, which have or may arise of or in connection with the program. These terms shall serve as a release and assumption of risk for the participants’ heirs, executors and administrators and for all members of the participants family, including any minors.
  6. Our charges are based on prices operating at the time of printing of the Price Sheet. Exchange rates and prices fluctuate and it may be necessary to adjust the price of a trip. The price of a program may be varied at any time before Geographic Bureau has accepted a booking from you. On acceptance of your booking if an increase is to be made, more than thirty days notice will be given (except to late applicants). 2% of any surcharge will be absorbed by Geographic Bureau, should the increase exceed 10% of the price you may request a refund; in this case Geographic Bureau will retain US$30 to cover handling charges.
  7. Insurance. You are required to take out an insurance to provide adequate cover for medical expenses, personal accident, loss of baggage and curtailment or cancellation of trip. It is the responsibility of all individuals to finance on-the-spot medical treatment and other contingencies, then to reclaim this from their insurance on return, and to ensure that they have adequate protection for expensive equipment. Please keep details of all the documentation which may be necessary when making a claim. Individuals should ensure their insurance covers all aspects of the program such as for off piste skiing for the heli skiing programs and mountaineering with ropes for programs which can or will require the use of technical climbing equipment.
  8. No refund or compensation will be made or given for any unused hotel accommodation or any other unused service or feature of the tour, nor will such accommodation, service or feature be exchangeable for other accommodation, services or features, or transferable to other persons.
  9. No servant or agent of Geographic Bureau can vary the conditions of Geographic Bureau and any such variation shall be of no effect unless it has been signed by the director of Geographic Bureau.
  10. Disputes. If you have cause for complaint while on holiday you must bring it to the attention of Geographic Bureau’s local representative/agent and/or the hotel who will do their best to rectify the situation. It is unreasonable to take no action whilst on holiday but then to write a letter of complaint upon return. However, should a problem remain unresolved, a complaint should be made within 28 days of the completion of the holiday. Please remember to quote your holiday account number. If any complaint cannot be settled amicably, you may refer any dispute relating to this contract to an arbitrator.
  11. Tickets and timings. All references to departure times in our brochures are for your guidance only and are subject to amendment. In these cases Geographic Bureau will not be responsible for additional costs incurred by clients traveling to and from the point of departure.
